JOB TITLE: MANAGEMENT SECRETARY I (01 Position)

PURPOSE: To provide efficient and effective secretarial services of confidential and non-confidential nature to the Vice Chancellor.

RESPONSIBILITIES:

  • Typing from manuscripts and dictation, confidential and non-confidential memoranda, letters, reports, notices, etc as required by the Vice Chancellor.   
  • Submitting typed script to superior for scrutiny and approval.   
  • Typing letters, reports, schedules, tables and other documents of confidential and non-confidential nature from handwritten or typed sources.
  • Proof reading the same and correcting errors thereof prior to circulating and or for approval prior to typing and dispatching typed script to addressees.       
  • Drafting routine and straight forward letters and taking the same to superior, business visitors, etc.   
  • Screening telephone calls and visitors to the Vice Chancellor to minimise interruptions.   
  • Making tea/coffee and serve the same or refreshments to the Vice-Chancellor, business visitors, etc as a public relation gesture.               
  • Maintaining an accurate and up to date filing system in the Vice-Chancellor’s office for ease reference and document retrieval.                
  • Maintaining the Vice Chancellor’s diary and reminding him of his commitments.           
  • Operating a photocopier, fax machine, etc to ensure efficiency and quick processing of correspondence.


QUALIFICATIONS:

  • Grade 12 Certificate with a Credit or better in English Language
  • Advanced Secretarial Certificate or Diploma with Typing speed of 65 words per minute and shorthand speed of 110/120 words per minute.
  • Certificate in Management Development for Executive Assistants or its equivalent would be an added advantage.
  • At least ten (10) years secretarial work experience.
  • Must be Computer Literate.

JOB TITLE:  SENIOR INTERNAL AUDITOR (01)

PURPOSE: Responsible for directing technical and administrative functions in order to ensure completion of tasks in accordance with acceptable audit standards and stipulated schedules.

RESPONSIBILITIES:

  • Prepares and participates in the preparation of work plans.
  • Participates in the review of policies and preparation/review of work manuals and procedures and related documentation.
  • Prepares comprehensive programs of the audit coverage for the assigned coverage and ensure same is adhered to by subordinates.
  • Participates in risk assessment and evaluation of control.
  • Inspects and verifies negotiable securities and notes receivables and payable, examines cancelled cheques and receipts for cash payments and purchases.
  • Reviews and Inspects recording of transactions in ledger cards/day books and journals and verifies transfers of entries of ledgers for accuracy of data and completeness of same.
  • Coordinates all audit activity at University of Zambia to ensure an efficient audit coverage that remains responsive to the University's needs.
  • Ensures that all assets of the University are promptly and completely recorded, accounted for, authorized and adequately safeguarded against loss and misappropriation.
  • Appraises the economy and efficiency with which resources are allocated and utilized.
  • Examines, evaluates and supervises the evaluation of the University controls and internal control systems established aimed at achieving reasonable and efficient conduct of business.
  • Identifies activities subject to audit coverage, evaluates their significance and asses the degree of risk inherent in the    activity.
  • Participates in the coordination with external auditors to ensure proper audit coverage, eliminate duplicate efforts and improve the efficiency and effectiveness of audit activities.
  • Provides assistance to external auditors as requested.
  • Performs special management audits at the request of management.
  • Participates in the execution of other tasks or special projects when required by management, such as due   diligence reviews, fraud investigation, etc.
  • Examines, evaluates and supervises the evaluation of the University controls and internal control systems established aimed at achieving reasonable and efficient conduct of business.
  • Identifies activities subject to audit coverage, evaluates their significance and asses the degree of risk inherent in the activity.
  • Determines important audit assignments and monitors execution of the same in order to ensure adherence to time schedules and standard practices.
  • Participates in the Preparation of Internal Audit Unit’s annual budget proposal including estimates of costs associated with the Unit’s operations.
  • Participates in the Preparation of Internal Audit Unit’s annual procurement plans.
  • Participates in the oversight of audit staff including talent acquisition, retention, mentoring,    coaching, development and performance evaluation
  • Participates in the Monitoring and evaluation of audit staff's professional and technical competencies/development to effectively provide quality input into audit activities.  Identifies training opportunities for further staff development.
  • Participates in the development and maintenance of a quality assurance and improvement program that covers all aspects of the Internal Audit activity

QUALIFICATIONS:

  • Grade 12 School Certificate
  • ZICA/ACCA or CIMA
  • At least five (5) years work experience in Auditing
  • Must be registered with the Zambia Institute of Chartered Accountants
  • Must be Computer literate

JOB TITLE: INTERNAL AUDITOR (03 Positions)

PURPOSE: Responsible for carrying out audit assignment at the University of Zambia and highlight variances in transaction recording and financial accounting for remedial action.

RESPONSIBILITIES:

  • Prepares and participates in the preparation of work plans.
  • Participates in the review of policies and preparation /review of work manuals and procedures and related    documentation.
  • Accountable for degree of detailed checking needed and points requiring particular attention and carries out audit directly and or with the help of the Assistant Internal Auditors.
  • Inspects and verifies negotiable securities and notes receivables and payable, examines cancelled cheques and receipts for cash payments and purchases.
  • Verifies journal and ledger entries and checks accuracy of authentic total in order to highlight variances in transactions and recommends remedial action.
  • Inspects recording of transactions in ledger cards/day books and journals and verifies transfers of entries of ledgers for accuracy of data and completeness of same.
  • Inspects and ensures that all assets of the University are promptly and completely recorded, accounted for, authorized and adequately safeguarded against loss and misappropriation.
  • Performs special management audits at the request of management
  • Participates in the Preparation of Internal Audit Unit’s annual budget proposal including estimates of costs associated with the Unit’s operations.
  • Participates in the preparation of quarterly and annual operational performance reports.

QUALIFICATIONS:

  • Grade 12 School Certificate.
  • Level II ACCA, CIMA Management Level, ZICA Licentiate, Bachelor of Accountancy or its equivalent.
  • At least five (5) years work experience in Auditing.
  • Must be registered with the Zambia Institute of Chartered Accountants.
  • Must be Computer literate

JOB TITLE:  ICT SECURITY OFFICER (1 Position)

PURPOSE: To plan, implement and support networks and ICT security related tasks in the University.

RESPONSIBILITIES:

  • Assisting in the evaluation, testing and implementation of planned technical changes, in order to help ensure   that potential compromise or weakening of existing security controls is minimized.
  • In consultation with the supervisor, to devise and document new or revised procedures relating to security control of all ICT environments, systems, products or services in order to demonstrate continual improvement in control.
  • Assisting in investigating system access enquiries referred by ICT Support staff and all enquiries relating to information security, contingency planning and activities of the School or unit.
  • Providing security awareness training, guidance and support to users and ICT support staff in all aspects of security policy and control.
  • Interpreting and applying information security policy and standards, and contributing to the development of standards.
  • Supervising or administering the operation of appropriate security controls.
  • Identifying potential threats and vulnerabilities, assessing the risks of these to the University’s critical ICT infrastructure and implementing appropriate corrective or preventative action.
  • Responsible for service management of internal security systems i.e. those which are predominantly infrastructure in nature and do not have significant end user involvement.  This includes monitoring usage of security products and liaising with suppliers in Problem Resolution and Contract Management.
  • To be the point of contact for Information Systems audits and ensuring availability of appropriate resources for the process.
  • Creating documentation and testing of procedures to restore applications, and associated business processes, to effective operation following serious disruption.

QUALIFICATIONS:

  • Grade 12 Certificate.
  • Bachelor’s Degree in ICT Security or related field. 
  • Certification in MCSE, CCENT/CCNA.
  • Must have good knowledge of Microsoft Windows, Cisco, and Linux Systems is a must.
  • At least two (2) years post qualification relevant technical work experience in administration of ICT infrastructure.
